Finance and Office Assistant Save the Children Brussels, Belgium

Established nearly two decades ago, Save the Children’s advocacy office in Brussels, the EU Office, focuses on promoting children’s rights in the EU and the Member State Agendas.
The Finance and Office Assistant assists with the finance and office management of the Brussels office. This position places an emphasis on Finance (60%) and Office management/HR support (40%).

Tasks and Responsibilities:
- Under the supervision of the Head of Office, and in close collaboration with SC UK Finance Department and the Belgian accountant assist in the management of the EU office finances;
. To provide administrative and secretarial support to the office including filing, handling correspondence, answering routine enquiries;
- To ensure efficient communication with the office’s service providers, landlord and bank, making travel arrangements, managing purchase of office material and consumables, organising meetings;
- To manage relations with Save the Children EU Office payroll office, PARTENA; including ensuring efficient communication, acquiring relevant information, ensuring that the EU office complies with Belgian employment legislation, managing the payroll etc;
- To update staff policies and regulations and inform staff in the EU office;
- To organise and assist with the contacts with Save the Children members and to make arrangements for the Steering/Europe Group meetings and telephone conferences;
- To carry out other tasks as appropriate under the direction of the Head of Office;
- To carry out the responsibilities of the role in a way which, reflects Save the Children’s commitment to safeguarding children in accordance with the Child Protection Policy.

Person Specification:
- Excellent skills and proven experience with a range of finance functions, including budget preparation and oversight, accounting and reporting;
- Excellent office management skills (administration, organisation, support, communication, filing);
- Excellent organisational skills and attention to detail;
- Ability to work under tight deadlines and with multiple tasks;
- Excellent interpersonal and written and oral communication skills, including an ability to successfully manage relations and communicate with finance staff, service providers, SC members and colleagues, work collaboratively within a European network and an ability to deal helpfully and efficiently with enquiries;
- Familiarity with Belgian legislation in the area of finance and HR;
- Computer literacy (Word, Excel, Outlook and Internet);
- Fluency in English (oral and written) and a good command of French;
- A commitment to the aims, mission and goal of Save the Children.

Conditions of Service:
This is a full-time post.
Terms and conditions of Belgian employment law will apply.
Holidays will be calculated on a pro-rata basis in line with Belgian Law and Save the Children UK Guidelines.
There may be a very occasional requirement to travel and/or to work outside normal office hours.
A probationary period of 6 months applies.
The responsibilities of the role do not require the post holder to have regular contact with children or young people but may have infrequent contact, usually with different groups of children and young people.
